1. Ask the customer to email a copy of the backflow test requested by the city to service@shaferservices.com. Inform the customer they will receive a follow up call from Robe rt Stricter to schedule once email has been sent.
    • If customer has not received a letter, ask description of why service is needed. Then skip to step 3 (Then Stop). Inform customer they will receive a follow up call from Robert Stricter to schedule.
    • You can inform the customer Mr. Stricker is a 3rd party and quote the pricing of a flat rate $142.31.
  2. Once email received, save attachment to computer. File Title: Customer’s name, Backflow Test
  3. Create a job:
    • Business Unit: Plumbing- Service
    • Job Type: PLB- BACKFLOW ISSUE/ TEST
    • Summary: Customer is requesting a backflow test. Emailed Robert Stricker
  4. Once job is created, click on paperclip under history notes
  5. Select the attachment you saved in step 2 and click Open
  6. Click on Invoice
  7. Click on Update invoice details (first option to the left)
  8. Edit summary notes at bottom of page: Requesting backflow test. Emailed Robert Stricker
  9. Press green Save
  10. Click printer icon at top right, next to email icon. Another page will populate
  11. Click printer icon again
  12. Click on Destination drop down arrow-> Select Save as PDF
  13. Save to computer, Title: Customer name and Invoice#
  14. Go back into invoice
  15. Click on Add a purchase order (to the left)
    • Vendor: RVS
    • Ship To: Vendor Counter Pick Up
    • Vendor Memo: Requesting backflow test
    • Item: PO- Plumbing
  16. Copy and paste blue purchase order#
  17. Press Create at top right corner

Backflow Test Completed

  1. Will receive an email sent by Cara of Backflow Test completed
  2. Search address to find Backflow Test job
  3. Go into Invoice
  4. Select Add a Task
  5. In Name Colum type: Backflow
    • Select: BFT -054 BACKFLOW TEST RESIDENTIAL
  6. Save
  7. Save Invoice document sent from Robert Stricker’s email. Title: Customer Name, RVS Invoice
    • If there is a Backflow Prevention Assembly Test and Maintenance Report save document. Title: Customer Name, Backflow Report
  8. Click on paperclip under history notes and select the attachment you saved in step 6. Click Open
  9. Select Job Actions
  10. Select Complete Job
  11. It will give a message “Are you sure you want to mark this Job as complete? There is 1 appointment that is not yet Done. 1 appointment will be marked as Unused.”
  12. Press continue.
  13. Press Save
  14. Forward email from Robert Stricker that provided RSV invoice to accounting@shaferservices.com
    • This job is completed.
